How do you manage customer support in a panel?

In the panel business, support can decide the difference between profit and loss. The reason is this, every ticket eats your time and your time is not priced into the product. A panel answering thirty tickets a day is spending its margin without noticing.
The goal is not just to give good support, it is to build a panel that does not need support.
The four things that generate tickets
Most support tickets fall under four headings:
| Cause | Share | How to prevent it |
|---|---|---|
| "Where is my order?" | Highest | Show status and an estimated time |
| "My balance was not credited" | High | Set up payment callbacks correctly |
| "What does this service do?" | Medium | Fill in the service descriptions |
| "My followers dropped" | Medium | Put your refill policy in writing |
The one at the top is entirely preventable. If the customer can see their order status and estimated time on their own screen, they do not ask. That single improvement drops the support load noticeably.
Service descriptions are the cheapest support investment
A service with an empty description generates a question on every sale. Write these three things for every service, what it does, how long it takes to start, and what happens if there is a drop. Those three sentences remove most of the questions about that service.
Use templates, but do not let them read like copy and paste
Build ready answers for the questions that come up often. But do not send the template as it is, add a sentence at the top about what the customer actually asked. A template starting with "Hello, regarding your order 4821..." reads like a personal reply.
The rule on a problem order, do not argue
If an order finished short or never started, there is nothing to gain from negotiating with the customer. Refund it and record it. A refund costs a few lira, a bad review costs an amount you cannot calculate.
But recording it matters, track which services generate refunds. If a particular service keeps causing problems, the problem is not the customer, it is that service or the provider behind it.
Response time target
For a new panel the strongest competitive edge is speed. Big panels come back within hours. If you come back within minutes, people notice. A realistic target, first response within 1 hour during working hours, a resolution on every ticket the same day.
Set up an automatic acknowledgement for tickets that arrive overnight. Even at an hour when you cannot reply, saying "we have got it, we will come back in the morning" beats silence.
Turn support data into product decisions
Once a month, count your support tickets by heading. The three headings that repeat most tell you the three improvements to make that month. Support is not just a cost line, it is the most honest report on what is broken in your panel.
